Overview
  • Customize your branding theme to add or remove bank account details and payment terms for sales invoices.
  • Set the payment advice slip to always appear at the bottom of a PDF or emailed invoice by using an advanced invoice template.
Add bank account details or payment terms
Standard Template DOCX Template
  1. Click the organisation name, select Settings, then click Invoice settings.
  2. Next to the template you want to update, click Options, then select Edit.

  3. (Optional) Select the Show payment advice cut-away checkbox if you send invoices by post. Customers might prefer to return the cut-away with their payment.

  4. Enter your bank account and any other payment details in the Terms & Payment Advice (Invoice and Statement) box. You can enter up to 1000 characters and up to 6 line breaks.

  5. Click Save.

  2. Find the template you want to update and click Download.
  3. Use Microsoft Word to open the template you want to change from the ZIP file.
  4. Enter your bank account details and payment terms as static text on your template.
  5. (Optional) If you have a separate Word document for your terms and conditions, add it as additional pages to your DOCX template. When you print or email PDF documents, the terms and conditions will be included.
  6. Save the template file to your computer.
  7. In Xero, go back to Invoice settings, find the template you want to update then, then click Upload.
  8. Follow the process to upload your template, then click Upload to confirm.
Remove bank account details or payment terms
Standard Template DOCX Template
  1. Click the organisation name, select Settings, then click Invoice settings.
  2. Next to the template you want to update, click Options, then select Edit.
  3. Remove your bank account and any other payment details in the Terms & Payment Advice (Invoice and Statement) box.
  4. Click Save.

  2. Find the template you want to change and click Download.
  3. Use Microsoft Word to open the template you want to change from the ZIP file.
  4. Depending on how the details are entered on your template, you can either:
    • Delete the static text by highlighting your bank details or terms and press Delete or Backspace on your keyboard.
    • Remove the details from the footer by placing your cursor in the footer table and selecting the Design tab. In the Footer menu, select Blank and delete any remaining text that relates to your payment terms.

  5. Save the template file to your computer.
  6. In Xero, go back to Invoice settings, find the template you want to update then click Upload
  7. Follow the process to upload your template, then click Upload to confirm.
Move payment advice to the last page

If you find that your payment advice is appearing in the middle of an invoice or other document, you can set it so that it always appears on the last page.

To move it to the last page, you’ll need to set up an advanced invoice template. You can either download our ready to use DOCX template, or follow the steps below to edit an existing template.

Customise an existing invoice template

  1. Click the organisation name, select Settings, then click Invoice settings.
  2. Find the template you want to change and click Download.
  3. Use Microsoft Word to open the template you want to change from the ZIP file.
  4. Double-click inside the footer to highlight the entire contents, or press CTRL + A and copy by pressing CTRL + C, or right-click and select Copy.

  5. Delete the table and contents from the footer.
  6. Create a text box in the body of your template, outside the footer.
  7. In the Insert tab, click Text Box, then select Simple Text Box.
  8. Paste the footer contents into the text box.
  9. Increase the size of the text box to cover the same size area as the footer contents.
  10. To remove the text box border, right-click on the border and select Format Shape. Click Line and set the Color to White.
  11. With your cursor in the text box, from the Layout tab, set the Position to Position in Bottom Centre.
  12. In the Layout tab, go to Wrap Text and select Top and Bottom.
  13. Place your cursor between the invoice details and payment advice, and press Enter on your keyboard to leave a blank line break.
  14. (Optional) Customise the template further by removing any field codes you're not using, or uploading your logo.
  15. Save the template file to your computer.
  16. In Xero, go back to Invoice settings, find the template you want to update, then click Upload.
  17. Follow the process to upload your template, then click Upload to confirm.
