  • Create an invoice from a quote once you've supplied goods or services to your customer.

Create an invoice for supplied items

Once you've supplied all the items in a quote, create an invoice for your customer.

  1. In the Business menu, select Quotes.

  2. Select the Accepted tab.

  3. Select the checkbox next to the quote you want to invoice, then click Create invoice. Alternatively, find and open the quote, then click Create invoice from within the quote.

  4. Select Mark as invoiced, then click Create. This copies all the details into the new invoice. If the quote doesn't have a reference, the quote number is copied into the reference field instead.

  5. Review the pre-populated fields and make any other changes as needed.

  6. Click Save & close to save the invoice as a draft. To submit the invoice for approval, click the arrow next to Save & close, then select Submit for approval.

The history and notes section of both the invoice and quote includes a link between both transactions.

Account for unsupplied items

There might be times when you can't supply all the items in a quote at once, so you only want to invoice some of the items.

  1. In the Business menu, select Quotes.

  2. Select the Accepted tab.

  3. Select the checkbox next to the quote you want to invoice, then click Create invoice. Alternatively, find and open the quote, then click Create invoice from within the quote.

  4. Leave the Mark as invoiced checkbox clear, then click Create.

  5. Delete lines for items you haven't supplied yet. To do this, click the menu icon  next to the line you want to delete, then select Remove.

  6. Click Save & close to save the invoice as a draft. To submit the invoice for approval, click the arrow next to Save & close, then select Submit for approval

Once you've supplied the remaining items, repeat this process, but select the Mark as invoiced checkbox to indicate that the quote is fulfilled.

Create an invoice for supplied items

If you only want to invoice some of the items in your quote, you’ll need to log into the web version of Xero. You can't delete invoice lines for items you haven't supplied yet from the mobile version of Xero.

If you've supplied all the items in your quote, you can create an invoice for your customer:

  1. Tap Sales.

  2. Under Quotes, tap [number] to invoice.

  3. Tap the quote to see all fields.

  4. Tap Options, then select Create Invoice.

This copies all the details, including the contact name, into the new invoice. If the quote doesn't have a reference, the quote number is copied into the reference field instead.

The history and notes section of both the invoice and quote includes a link between both transactions.

 
⚠ Warning 
In the mobile version of Xero, creating an invoice from a quote doesn’t mark the quote as invoiced. Once you’ve created the invoice, you’ll need to manually mark the quote as invoiced.
