Create an invoice template

  • Customize the appearance and the information included in your invoices, quotes, customer credit notes, customer statements, and purchase orders.

  • Create, copy or edit an invoice template and then preview the changes you've made.

You can try out invoice templates in the Xero demo company. It has most of the features of an actual Xero organization so you can explore Xero without entering your own data.

Using invoice templates in Xero

Invoice templates can be used to customise how your invoices, quotes, customer credit notes, customer statements, and purchase orders display.

You can add multiple invoice templates to use in different situations, such as different payment terms or varying logos. There’s no limit to the number of standard invoice templates you can add.

Create an invoice template

  1. Click the organisation name, then select Settings.
  2. Click Invoice settings.
  3. Click New Branding Theme.
  4. Enter a name to help identify the theme.
  5. Adjust the options as needed to customise your invoice's appearance or to show additional fields. If you want your organisation's tax number to show on your invoices, select the Show tax number checkbox. You can also enter your contact details and invoice or quote terms.
  6. Click Save.

Copy an invoice template

  1. Click the organisation name, then select Settings.
  2. Click Invoice settings.
  3. Find the template you want to copy, click Options, then select Copy.
  4. Enter a name for your new template.
  5. Click Save.

Edit an invoice template

Make changes to an existing invoice template. You can update your contact details, invoice terms or payments details.

  1. Click the organisation name, then select Settings.
  2. Click Invoice settings.
  3. Find the template you want to edit, click Options, then select Edit.
  4. Make your changes.
  5. Click Save.

Preview an invoice template

To preview your invoice template: 

  1. Click the organisation name, then select Settings.
  2. Click Invoice settings.
  3. Find the template you want to preview, click Options, then select Preview.

To see how the invoice template will look with real information:

  1. Create an invoice, then enter relevant details.
  2. Under Branding theme, select the name of the template. 
  3. To view the invoice, click Preview.
