Overview
  • Customize the page layout of your invoice templates, including page margins, page size and address padding.
  • Edit or delete the column headings that show on printed PDF copies of your documents.
Customize the page layout

You can change the margins, page size, or address padding for invoices, credit notes, quotes, statements, purchase orders, and receipts. If you're using a standard invoice template, it’ll also apply to remittance advices.

If you use letterhead paper, you might need to change your margins to allow space for your company branding. If you use window envelopes, you can use address padding to change the position of the invoice address in relation to the left margin.
Standard Template DOCX Template
  1. Click on the organisation name, select Settings, then click Invoice settings.
  2. Next to the standard template you want to update, click Options, then select Edit.
  3. Update the Page sizeTop marginBottom marginMeasure in and Address padding fields.

    • If you're adjusting the margins, use positive numbers up to two decimal places, and no greater than 10 cm (4 inches). The top margin determines how far down the heading, logo (if you use one) or invoice date will be from the top of the page.
    • Use address padding to alter the position of the address for window envelopes (in relation to the left margin). Use numbers from 0-5 cm (or 0-2 inches) up to two decimal places. Address padding is measured within the margins of the page, not from the edge of the page.

  4. Click Save.
  1. Click on the organisation name, select Settings, then click Invoice settings.
  2. Find the template you want to change and click Download.
  3. Use Microsoft Word to open the template you want to change from the ZIP file.
  4. In the Layout tab, change the margins, page orientation, and page size, as needed.
  5. Make any other changes to your template.
  6. Save the template file to your computer.
  7. In Xero, go back to Invoice Settings, find the template you want to update then click Upload.
  8. Follow the process to upload your template, then click Upload to confirm.
Edit or delete column headings  

Edit or delete column headings for your invoices, customer credit notes, quotes, customer statements, purchase orders, and receipts. If you're using a standard template, it'll also apply to remittance advices. 

Standard Template DOCX Template

You can edit and delete the ItemUnit PriceQuantity or Tax column headings individually on a standard invoice template. Or you can choose to remove all column headings, but still show the DescriptionTax and Amount details.

  1. Click on the organisation name, select Settings, then click Invoice settings.
  2. Next to the standard template you want to update, click Options, then select Edit.
  3. Select or clear the following highlighted options:

  4. Click Save.
  1. Click on the organisation name, select Settings, then click Invoice settings.
  2. Find the template you want to change and click Download.
  3. Use Microsoft Word to open the template you want to change from the ZIP file.
  4. To edit the column headings, simply type over the names of the column headings you want to change, such as Hours instead of Quantity, or Rate instead of Unit Price. Don't type over or remove headings that are field codes. For example, «InvoiceCurrency».

  5. To delete the headings and fields, highlight the text, and press Delete or Backspace.
  6. Save the template file to your computer.
  7. In Xero, go back to Invoice Settings, find the template you want to update then click Upload.
  8. Follow the process to upload your template, then click Upload to confirm.
