Edit an invoice

Overview
  • You can edit invoice details using new or classic invoicing, or the mobile apps.
  • You can edit an invoice with any status, but you might need to remove payments from the invoice to edit some fields.

ⓘTip
Xero won’t notify your customer of updates made to an invoice. However, the online invoice will automatically reflect any changes. If you’ve sent your customer a PDF invoice, you’ll need to send them the new version.

Edit a draft invoice

  1. In the Business menu, select Invoices.
  2. Find and open the invoice.
  3. Make your changes to the invoice. You can edit any field, and drag and drop invoice lines to reorder them.
  4. If you’re using new invoicing, Xero will automatically save your changes. If you’re using classic invoicing, click Save to keep your changes.
  1. On the dashboard, tap Sales.
  2. Find the draft invoice you'd like to edit, then tap to open it.
  3. Tap Edit.
  4. Make the required changes, then tap Save or Email.

  4. Tap the send icon, then select SendShareApprove or Save.
Edit an awaiting payment invoice

These steps tell you how to edit invoices with no payments applied. If the invoice has been partly paid, use the steps for editing a paid invoice instead.

 You can edit an invoice in the awaiting payment status. If you’ve already sent the invoice to your customer, in some situations it might be better to void the invoice, then create a new one.

New invoicing

  1. In the Business menu, select Invoices.

  2. Find and open the invoice.

  3. Click the menu icon Image showing menu icon, then select Edit.

  4. Make your changes to the invoice. You can edit any field, and drag and drop invoice lines to reorder them.

  5. Click Update to save your changes, or click the arrow next to Update, then select:

    • Email to send the updated invoice to your customer

    • Get link to copy the link to the updated online invoice

    • Print PDF to print the updated invoice

Classic invoicing

  1. In the Business menu, select Invoices.
  2. Find and open the invoice.
  3. Click Invoice Options, then select Edit.
  4. Make your changes to the invoice. You can edit any field, and drag and drop invoice lines to reorder them.
  5. Click Update to save your changes.

  2. Find the invoice you'd like to edit, then tap to open it.
  3. Tap Options, then tap Edit.
  4. Make the required changes, then tap Save or Email.

  2. Find the unpaid or overdue invoice you'd like to edit, then tap to open it.

  3. Tap the menu icon Menu icon button with dropdown., then select Edit.

  4. Tap on the fields to make the required changes.

  5. Tap the tick icon to save your changes.

 

Edit a paid invoice
 

Warning
If you need to make sales tax adjustments to a paid invoice, consider using a different method. Talk to your accountant or bookkeeper if you're unsure about editing paid invoices.

Only some fields in a paid or partly paid invoice can be changed without removing the payment. The fields you can edit without removing the payment are:

  • To 
  • Due date
  • Invoice number
  • Reference
  • Branding theme
  • Description
  • Account
  • Tracking
  • Project

You can also attach files and change the payment service after payment has been made. You'll need to remove the payment to make changes to other fields.

To edit a paid or partly-paid invoice:

  1. In the Business menu, select Invoices.

  2. Find and open the invoice.

  3. If you need to, remove any paymentscredit notesprepayments or overpayments.

  4. If you’re using new invoicing, click the menu icon Image showing menu icon, then select Edit.

    In classic invoicing, click Invoice Options, then select Edit.

  5. Make your changes to the invoice. 

  6. Click Update or Save.

  7. Re-apply any paymentscredit notes, prepayments or overpayments you removed.

It's not possible to edit a paid invoice directly on the Xero Accounting app for iOS, but you can make changes if you delete the payment first. To do this:

  1. On the Dashboard, tap Sales.
  2. Next to Invoices, tap See all.

  3. Search for the invoice you want to edit, then tap to open it.

  4. Under Minus payments, tap the payment.

  5. Tap Options, tap Delete Payment, then tap Delete to confirm. This moves the invoice back to an awaiting payment status.

  6. Tap Options, then tap Edit.

  7. Make the required changes, then tap Save or Email.

It's not possible to edit a paid invoice directly in Android, but you can make changes if you delete the payment first. To do this:

  1. On the Dashboard, tap Sales.

  2. Find the paid invoice you'd like to edit, then tap to open it.

  3. Delete the payment from the invoice.

  4. Tap the menu icon Menu icon button with dropdown., then select Edit.

  5. Tap on the fields to make the required changes.

  6. Tap the tick icon to save your changes.
