- Email your customer an online quote they can accept or decline. A PDF copy of the quote is automatically included with the email.
Email a quote

Before you start, you might like to customize your email templates to include a link to an online quote. From an online quote, your customer can accept, decline or ask a question. They can also download and print a copy of the quote. To email a quote:

Add or edit email information
Customize the email and information your customer receives when you send a quote.

The email recipient. If you enter a new email address, Xero saves it to the contact's record. There isn't a CC or BCC option when emailing quotes, but you can enter multiple email addresses. A separate email is sent to each address you enter. |
Subject |
Xero populates the Subject field with the text and placeholders set up in the selected email template. You can edit this directly or update the email template to reuse later. |
Email template |
If email templates for quotes are set up, select a template to apply to the quote. |
Insert a placeholder |
Click this to show the placeholders you can add to the subject or message for this email type. For example, if you want the customer to receive a link to the online quote, click where you want it within the message, then click the [Online Quote Link] placeholder. |
Message |
If you've selected an email template, Xero populates the message for you. You can edit the text and placeholders or customize the template so you can reuse it. |

Select the checkbox to send yourself a copy of the email. |
Attach files to email |
If you attached a file to the quote, select the checkbox to send the file as an attachment on the email. |
What customers can do with an online quote
When your customer receives the link to an online quote, they can:
- Accept the quote – when customer clicks Accept, the user who created the quote receives an email notification, and the quote's status updates to Accepted.
- Decline it – when customer clicks Decline, the user who created the quote receives an email notification, and the quote's status updates to Declined.
- Ask a question – if a customer asks a question from the online quote, the user who created the quote receives an email.
- Download and print a PDF copy of the quote.
