Types of invoice templates
ⓘTip
Create an invoice template to use when sending invoices, credit notes, quotes, customer statements, and purchase orders to your customers. This lets you customise the look of the documents you send to your customers to represent your business.
Xero has two types of invoice templates that give you different customisation options:
- Standard invoice templates let you create and edit default invoice templates in Xero. We recommend you start here to create an invoice template for your business.
- Advanced invoice templates are a more complex option that allow for further customisation. Advanced invoice templates are edited outside Xero using Microsoft Word. Advanced invoice templates can’t be used for receipts or remittance advice.
You can add multiple invoice templates to use in different situations, such as different payment terms or varying logos.
Once you've added an invoice template you'll be able to apply it to an invoice (or other document) when adding or editing the invoice.
Standard invoice templates
Use a standard invoice template to create and edit an invoice template in Xero. There's no limit to the number of standard invoice templates you can add.
With standard invoice templates you can:
- Add or remove payment details for invoices
- Add a logo
- Change the default branding theme or apply an invoice template to a specific contact
- Change your organisation’s contact details
- Edit the title of your documents
- Show discounts on your invoices and other documents
You can also apply a standard invoice template to receipts or remittance advices you send to your customers.
Advanced invoice templates
In Xero, advanced invoice templates are called custom DOCX branding themes. They're edited outside of Xero using Microsoft Word then uploaded back into Xero.
Because they're more complex, we recommend starting with standard invoice templates. Create an advanced invoice template if you're confident using Microsoft Word.
There's a limit of 15 advanced invoice templates per organisation and more complex customisation options are available for them:
