Print or preview a customer invoice

  • Create a PDF of an invoice by printing it from Xero or preview it to see how an invoice looks on a web browser or mobile device.

New invoicing

  1. In the Business menu, select Invoices.
  2. Find and open the invoice you want by clicking Search in any of the status tabs.
  3. If the invoice is in Awaiting payment or Paid status, click Print PDF.

    To approve and print an invoice in Draft or Awaiting approval status, click the Approve & email arrow, then select Approve & print PDF.

    To print a draft invoice without approving it, click the menu icon Menu icon button with dropdown., then select Print PDF.

The PDF document opens in a separate browser tab, where you can then print or save it as you would normally.

Classic invoicing

  1. In the Business menu, select Invoices.
  2. Select the relevant status tab.
  3. Find and open the invoice you want by clicking Search in any of the status tabs.
  4. Click Print PDF.
  5. (Optional) If your invoice is awaiting payment, click Mark as sent to mark it as sent, or click Leave as-is.
  6. Open the PDF from your downloads folder, then print or save it.

Print multiple invoices

When you print multiple invoices, Xero creates a single PDF, grouping invoices for all contacts.

  1. In the Business menu, select Invoices.
  2. Select the relevant status tab.
  3. Select the checkbox for each invoice you want to print. If the invoices stretch over multiple pages, search for the invoices first, or set the Showing xx items per page to 200.
  4. Click Print.
  5. (Optional) If there are awaiting payment invoices that haven’t been emailed yet, click Mark as sent to mark them as sent, or click Leave as-is.
  6. Click OK.
  7. Open the PDF from your downloads folder, then print or save it.
  1. From your dashboard, tap Sales.
  2. Tap the relevant status or tap See all.
  3. Find and open the invoice you want to print.
  4. Tap Options, then tap Share.
  5. Tap:
    • Print to print a copy of the invoice.
    • Create PDF to view and save a PDF copy of the invoice to your device.
  1. From your dashboard, tap Sales.
  2. Tap the relevant status or tap SEE ALL.
  3. Find and open the invoice you want to print.
  4. Tap the menu icon The More icon in an invoice seen on an Android device., then tap View PDF.

  5. From the menu dropdown:

    • Select a printer to print the invoice from your device, then tap the printer icon Printer icon on an Android device when selecting a printer from the View PDF menu on an invoice on the Xero Mobile app..

    • Select Save as PDF to save a PDF copy of the invoice to your device. Tap the download PDF icon Download PDF icon on an Android device when you select View PDF from an invoice on the Xero Mobile app. to save.

Preview an invoice 

View an invoice in preview mode to see how it appears for your customer when they access it on their web browser or mobile device.

The steps below apply to viewing an invoice in both new and classic invoicing.

  1. In the Business menu, select Invoices.
  2. Find and open the invoice you want by clicking Search in any of the status tabs.
  3. Click Preview.
  4. The default view shows the invoice in a web browser. Click the mobile icon in the top right corner to switch the view.
