Set the font for an invoice template

Select a font for your invoice template
Standard template DOCX template
A limited number of fonts and sizes for invoice templates are supported. This is so fonts display correctly regardless of your computer or settings, and the PDF text prints at a reasonable size for the layout.

To set the font:

  1. Click on the organization name, select Settings, then click Invoice settings.
  2. Next to the template you want to update, click Options, then select Edit.
  3. Select the Font and Font size you want to use.
  4. Click Save.

If you use an advanced invoice template, make sure the font you want to use is installed on your computer. Unsupported fonts might not display correctly on your invoices or other documents, even if your Word file looks OK.

  1. Click on the organisation name, select Settings, then click Invoice settings.
  2. Find the template you want to change and click Download.
  3. Use Microsoft Word to open the template you want to change from the ZIP file.
  4. Highlight the text you want to edit and select the relevant font.
  5. (Optional) Make any other changes to your template.
  6. Save the template file to your computer.
  7. In Xero, go back to Invoice settings, find the template you want to update then click Upload.
  8. Follow the process to upload your template, then click Upload to confirm.
Use foreign language characters in invoices and other documents

Change the font in your invoice template to allow for the use of foreign language characters. Some of the fonts available for invoice templates support foreign language characters. For example, Arial Unicode MS (Microsoft website) supports Chinese, Japanese and Korean. Tahoma (Microsoft website) is a Unicode font that supports Thai.

If the fonts available for invoice templates don't support the language you want to use, you can find and install a font that's suitable and use an advanced invoice template to apply that font.

Add a barcode using an advanced invoice template

Insert a barcode into your advanced invoice template using a barcode font you’ve installed on your computer. The instructions below refer to a free barcode font, but you can use another available font as long as it’s safe for the web.

Inserting a barcode to your template will only work if your invoice number doesn’t contain a colon (:).
  1. Install the free barcode font on your computer.
  2. Click on the organization name, select Settings, then click Invoice settings.
  3. Find the template you want to change and click Download.
  4. Use Microsoft Word (or equivalent) to open the template you want to change from the ZIP file.
  5. Insert the «InvoiceNumber» field.
  6. Change the font of the «InvoiceNumber» field to the barcode font. If you’re using a free font, it'll either be 'Free 3 of 9' or 'Free 3 of 9 Extended'.
  7. (Optional) Make any other changes to your template.
  8. Save the template file to your computer.
  9. In Xero, go back to Invoice settings, find the template you want to update then click Upload.
  10. Follow the process to upload your template, then click Upload to confirm.
