What you need to know

Currently, the new version of invoicing is the primary invoicing experience for all users each time you log in to Xero.

We’ve extended the availability of classic invoicing, so users can choose to temporarily switch back until 27 February 2025 NZT, when classic invoicing will be retired.

As part of moving to a single invoicing experience, Xero is prioritising features you know from classic, as well as other new improvements. These are aimed at improving your entire invoicing experience, from the invoices you create and emails you send to the way you get paid.

We’ll regularly update this article with features and improvements as they’re released in Xero’s new version of invoicing.

Features and enhancements we’re currently working on

The following is a list of features we’re currently working on. They’re in development and will be released in the coming months. We’ll update our Xero Central articles as we release new features and improvements.

  • Set a currency exchange rate for your invoice. You can use either the XE.com rate, an organisation defined rate or add a rate directly to the invoice.

  • Efficient date entry, including easy access to the calendar picker and new keyboard entry options.

  • Drag and drop files anywhere on screen to attach to an invoice.

Features and enhancements we’ll work on next

The following is a list of features we’ll work on once we’ve released the ones above. We’ll update our Xero Central articles as we release new features and improvements.

  • New keyboard shortcuts for key actions, such as approving an invoice.

  • Unlink due date from issue date once due date is edited.

  • Improvements to contacts, including faster address edits and ability to add an Attention line.

  • Create and use new tracking options when editing an invoice to see how different areas of your business are performing, such as departments or locations.

  • A more compact line item display, reducing the need to scroll horizontally and vertically.

  • Easier inventory management, including the ability to view more items in the dropdown and view stock on hand in the Quantity cell for tracked inventory.

  • Improved history and notes, including all email sends.

  • Ability to add or reorder empty rows.

  • Improvements to loading speed when editing an invoice.

  • Retain column preferences for every invoice, eg. all Show/hide columns are remembered.

  • Expanded number of items in drop down from 50 to 100.

  • Option to type in dates when recording a payment in addition to selecting from the calendar.

  • More customisation tools for invoice templates (Exclusive to new invoicing).

  • Accept partial payments, such as deposits (Exclusive to new invoicing).

Most features listed can already be completed with Xero. The experience might change with new invoicing, but you can search Xero Central to find how to currently complete your task.

Features released in new invoicing

Since the announcement that classic invoicing will be retired, the following features and improvements have already been released in the new version of invoicing and are available for you to use.

August 2024

  • View tax rates and breakdowns in the invoice creation screen. 
  • Record overpayments against invoices so that credit can be applied to future invoices.

July 2024

  • Retain a contact when copying an invoice.
  • Address invoices to a contact group, auto-generating identical invoices for all members of the contact group.
  • Improvements for keyboard functionality with date selection.
  • View the account name and code after selecting an account.

June 2024

  • More customisation tools for email templates, with live preview when editing (Exclusive to new invoicing).
  • Add placeholders in invoice emails, such as [due date].

May 2024

  • View the invoice number in the browser tab title.
  • View detailed history and notes, including invoice number, contact email, as well as an audit trail of who made changes and when.
  • Create a contact quickly using the Tab or Enter keys.

April 2024

  • Mark an invoice as sent on print action.
  • Attach files from Xero’s file library to your invoice.
  • Enhancement to files to allow side by side file preview.
  • Shortcuts to add tracking categories, tax rates, or accounts from invoice.
  • Set a draft invoice to be repeating.
  • Improvements to quick keyboard navigations, including the ability to move to the next field using the Tab key.

March 2024

  • View invoice branding theme on the view invoice screen.
  • Print and download your PDF invoice, packing slip, or file in one click.
  • Option to send receipt after a payment is added.
  • Add a reference when adding a payment without an extra click.
  • Option to create another invoice once an invoice is approved.
  • Delete line items in one click.
  • Copy invoices to draft quotes. 

February 2024

  • Updated customer invoice email template, designed to show essential invoice details.
  • More accurate invoice previews to see how your invoice will look online or as a PDF before sending it.
  • View the item code while viewing an invoice.
  • Ability to paste numbers with commas or currency signs into line items.

Prior to January 2024

  • Automatic sales tax (US only).
  • Use a contact’s delivery address on your invoice.
  • Add last items or billable expenses to your invoice.
  • Make non-financial edits to invoices that have payments attached.
  • Turn invoice reminders on or off for the invoice or contact.
  • Support keyboard navigation, date entry shortcuts and Xero’s in-line calculator.
  • Show that an invoice was created from a repeating invoice and link to it.
  • Add contact information on the invoice edit screen.

The table below shows features that are in classic invoicing, new invoicing or both. Some features in new invoicing are marked with an asterisk (*). This indicates that the experience is different to classic, or that the feature isn’t yet available but is listed above as an upcoming release.
