Overview

  • Record a cash transaction not already entered in Xero by adding a spend or receive money transaction during bank reconciliation.

About spend and receive money transactions

Spend money transactions record money you've spent that doesn't relate to a bill, expense claim, or refund, such as fuel for the company car or postage. Whereas a receive money transaction records money you've received that doesn't relate to a sales invoice or refund, such as interest you've received.

Create a transaction and reconcile it

Record payments made or received via credit or charge card as at the date of the statement line. This is in line with time of supply as this is when the card was tendered as a payment.

  1. In the Accounting menu, select Bank accounts.
  2. Click Reconcile [number] items for the bank account you want to create the transaction in.
  3. For the bank statement line you want to reconcile, select the Create tab.
  4. Complete the Who and What fields to add a contact and account code to the transaction. Check the tax rate assigned as well.

    Enter the Who, What, Why, and Tax Rate to create a spend or receive money transaction while reconciling.

  5. In the Why field, enter a description.
  6. If you've set up tracking, select any relevant tracking options.
  7. (Optional) Click Add details to enter extra details like a reference, or split the transaction across two or more lines. You can also assign the expense to a customer or project.
  8. If you added more details, click Save Transaction.
  9. Click OK to create the transaction and reconcile it.

If a match, rule or suggestion appears below the bank transaction or you have an existing transaction to match it to, you may not need to create a new transaction – just reconcile as normal.
  1. From your dashboard, tap a bank account with unreconciled transactions (indicated by an orange dot).
  2. Swipe vertically to see each transaction.
  3. Below the bank transaction you want to create a match for, tap Create. If this option isn't available, swipe left on the bottom card, then tap Create.
  4. Tap What was it for?, then type a description for the transaction.
  5. To update the contact, tap the name to edit the details, or tap the delete icon to select a different contact.
  6. Tap Categorise to an account, and select the account to allocate the transaction to.
  7. If your organisation uses tracking or projects, tap to select a tracking category or project.
  8. Tap Select tax rate and select a tax rate.
  9. (Optional) Tap Optional details to split the transaction across multiple lines.
  10. (Optional) Tap Attach files to attach one or more files to the transaction.
  11. Tap Save to reconcile the transaction.

  9. (Optional) Tap the menu icon Image showing the more options icon. to split the transaction across multiple lines or add a reference.
  10. Tap Save to reconcile the transaction.
